Operations Administrative Assistant

Job Responsibilities:


The Operations Administrative Assistant serves as a first point of contact for issues with operational impact. Working under the general supervision of the Sr. Director of Primary Care, this position will provide general administrative support to the primary care, specialty care and ancillary business units, assist with onboarding new physicians, assist in the credentialing process, transition patients within the practices as needed. The person in this role will have an advanced skill set and knowledge of data analysis, process improvement, project management and service excellence.


  • Performs administrative duties for the Primary and Specialty Care departments at the direction of the Operations Project Manager
  • Provides high level of customer service, professionalism and confidentiality representing the operations team and InterMed 
  • Collaborates with other administrative assistants across different departments in the organization on initiatives that have operational impact
  • Works closely with the Project Manager on operational initiatives
  • Assists Credentialing Specialist with the provider credentialing process
  • Assists Practice Managers and Coordinators with onboarding of new physicians
  • Manages Physician off boarding process including transfer of patients
  • Manages Continuing Education initiatives and schedules for providers
  • Facilitates patient complaints with resolution and documentation
  • Assists the practices with outbound calls to schedule wellness visits
  • Manages internal patient transfer process
  • Attends required meetings and participates on committees as requested
  • Participates in professional development activities to keep pace with current trends in healthcare administration
  • Performs other duties as deemed necessary to maintain the overall continuity of the department and practice

Job Qualifications:
  • The successful candidate should have an Associate’s degree in a business related field
  • Three years of progressive and relevant experience in a multi-specialty group practice environment preferred
  • Knowledge of organizational policies, procedures, systems and objectives
  • Knowledge of physician practice systems and operations
  • Knowledge of computer systems and applications including electronic medical record (EMR) and Practice Management Systems, Word, Excel, and PowerPoint
  • Demonstrates flexibility and a comfort with shifting priorities to meet the business need
  • Ability to communicate clearly and effectively, both verbal and written
  • Demonstrates a strong commitment to the organization’s mission, vision and values of patient-centered care through behavior, language, and interactions with others
  • Maintains strictest confidentiality of all practice, corporate and other related information
  • Ability to earn trust and respect by providing prompt, accurate and helpful answers and innovative suggestions
  • Ability and desire to categorize and analyze information, to work independently and to prioritize multiple tasks and projects
  • Ability to organize, plan and lead projects
  • Ability to confidently make decisions within scope of responsibility
  • Demonstrates initiative, judgment, and problem solving abilities
