Primarily responsible for supporting the administrative needs of the on-site clinic and well-being center at IDEXX; greeting and directing incoming patients, checking patients in and out, answering phones, scheduling appointments for InterMed clinical and physical therapy staff and ancillary services. The administrative role includes scheduling meetings, providing PowerPoint, and other computer program and technology support to the clinic staff and IDEXX well-being team. The well-being clinic concierge is expected to develop a solid working knowledge of IDEXX well-being benefits in order to share these resources with IDEXX employees.
ESSENTIAL FUNCTIONSGreet incoming patients in a warm, welcoming manner, with good eye contactUse friendly, confidential and respectful communicationVerify demographic information upon patient arrivalNotify staff that patient has arrived in accordance with clinic protocolMake patient aware of any unusual delay in their appointment time and reschedule as neededBe familiar with and collect completed required patient and HIPAA formsAssist employees injured on the job to complete an online injury report quickly and accurately to ensure compliance with Worker Comp processesBe familiar with computerized appointment scheduling system(s) and schedule patients leaving after a visit with all necessary follow-up and ancillary appointmentsRespond to, or forward to appropriate resource, email inquiries coming to the clinicForward medical records to PCP and specialists’ offices via confidential methodsBecome familiar with IDEXX Well-Being Programs and Benefit Plans to assist and direct patientsAssist with well-being and health related presentations, mobile health clinics and marketing and education materialsAssist the clinical staff to efficiently co-manage on-site clinic walk-ins to maximize patient flow through the clinic.At request of clinical staff, assist in gathering community or on-site resources for the patient.Communicate any patient concerns to clinical team.Assist patients with problem solving, utilizing and referring to IDEXX resources, as appropriateAnswer phones using best customer service standards and company protocols and inform licensed staff of any additional needs of the patient, documenting any interactions appropriately.Demonstrate a respectful and positive attitude by smiling and being courteous to all patients, coworkers and providers.Make every effort to be non-judgmental with comments and conversation, is reflective with feedback and takes the initiative to work through conflicts in a manner that promotes team work and unity.Participates in orientation and staff professional development activities.Complies with all policies, procedures and safety requirements of InterMed staff.
