• Sort, classify, and verify all documents are processed per established guidelines• Administer records management processes per file structure, naming conventions according to established guidelines• Perform quality assurance checks on documents imaged into the EHR• Coordinate healthcare information in paper format to electronic format• Process documents received by electronic fax in accordance with procedure guidelines• Organize and maintain data for clinical databases and registries• Scan new patient records in accordance to the guidelines set forth• Analyze the new patient records to determine if the patients meet criteria to become registry patients• Preload new and returning patient’s records. Analyze and extract specific information from the records to be put into structured fields within the electronic health record. The data extracted is a synopsis of the patient’s health history• Analyze provider’s schedules to ensure that CDSS protocol standards are met. Request any of the necessary documentation from the CDSS protocol list • Work in conjunction with the Provider’s clinical team to ensure the patient’s electronic health record is in a current status• Call patients to obtain healthcare information• Request the paper chart off site if necessary for existing or returning patients• Provide training in the records management process• Maintain and update the records management workflow guide• Act as a resource to other departments within the company• Other responsibilities as directed by manager
